FOTOBOOTHEVENT TERMS & CONDITIONS
Please contact us if you are unclear about any of our Terms & Conditions before booking your booth. We are more than happy to answer any questions you may have.
- BOOKINGS
1.1 Booking confirmation
Your booking is not confirmed until you receive a confirmation email or letter from Fotoboothevent after the £50 booking fee has been paid. This fee will be deducted from your final balance.
1.2 Agreement to terms
Placing an order verbally or via email confirms that the client has read, understood, and agreed to these Terms & Conditions.
1.3 Start times and delays
If Fotoboothevent is late starting the hire due to our fault, we will extend the hire time where possible (venue permitting).
If delays occur due to factors outside our control, the hire will still end at the agreed time.
If the booth is ready but the event start is delayed due to venue or client activities, the hire will still end at the agreed finish time.
1.4 Unforeseen circumstances
Fotoboothevent cannot be held responsible for circumstances preventing attendance such as severe weather, traffic delays, vehicle breakdown, illness, or equipment failure.
If we are unable to attend due to circumstances beyond our control, we will contact you or the venue as soon as possible. In these situations our liability will be limited to refunding the amount paid minus reasonable expenses such as travel.
- PRICES, BOOKING FEE & PAYMENTS
2.1 Booking fee
All hires require a non-refundable booking fee of £50. This will be deducted from the total cost of your booking.
2.2 Final balance
The remaining balance must be paid in full at least 30 days before the event date.
If the booth is used longer than the agreed hire period, additional time will be charged and must be paid before the extra hours are provided.
2.3 Price changes
Advertised prices may change without prior notice.
2.4 Late payments
Fotoboothevent reserves the right to charge interest on overdue accounts at 2% above the bank’s current interest rate.
2.5 Promotional offers
The promotion of 30 bags of free popcorn is available only for bookings made at least 21 days before the event date.
Packaging may vary in colour and size. Full payment must be made before the event to claim the promotion. There is no cash alternative. If suppliers fail to deliver popcorn, Fotoboothevent cannot guarantee availability, although we will make every effort to provide it. The promotion is valid only if shown on the initial invoice.
- CANCELLATIONS
Cancelled bookings will be charged as follows:
Within 8 weeks of the event – 20% of the booking value
Within 6 weeks of the event – 50% of the booking value
Within 4 weeks of the event – 100% of the booking value
- EQUIPMENT
4.1 Equipment substitution
Fotoboothevent reserves the right to replace hired equipment with equipment of a similar type and value if necessary.
4.2 Measurements
All equipment sizes quoted are approximate.
4.3 Ownership
All hired equipment remains the property of Fotoboothevent at all times.
4.4 Specification changes
Fotoboothevent reserves the right to amend or alter product specifications without prior notice.
- SITE LOCATION, FACILITIES & CONDUCT
5.1 Equipment location
The booth will be set up in one agreed location and will not be moved once installed. Please ensure sufficient space is available at your venue.
If we are required to set up early and wait until the event starts, an idle charge of £35 per hour may apply.
5.2 Venue permission
The client must ensure that permission has been obtained from the venue to operate the photo booth.
5.3 Access requirements
Please inform us in advance of any circumstances that could make setup more difficult, including stairs or long distances from unloading areas. Failure to inform us may reduce booth run time.
If access is not possible on arrival Fotoboothevent may refuse the booking and the client may lose any payments made.
5.4 Event safety
The client is responsible for ensuring suitable security and crowd control measures are in place.
5.5 Unsafe behaviour
Fotoboothevent reserves the right to cease operation and remove equipment if guest behaviour risks safety or damage to equipment. In such cases no refund will be given and full contracted fees will remain payable.
5.6 Intoxicated guests
Staff reserve the right to refuse admission to the booth if guests appear intoxicated or behave inappropriately.
5.7 Food and drink
No food or drink is permitted inside the photo booth.
5.8 Children
Children must be supervised by an adult at all times when using the photo booth.
5.9 Magic Mirror access
For Magic Mirror bookings the venue must provide direct access with no steps or raised doorways. Failure to confirm this in advance may result in cancellation without refund.
- LIABILITY & INSURANCE
6.1 Equipment damage
The client agrees to cover the cost of repair or replacement for any damage or theft of Fotoboothevent equipment during the hire period.
6.2 Personal liability
Fotoboothevent accepts no liability for personal injury, loss or damage to personal property arising from use of the hired equipment.
- PHOTOGRAPHY & MEDIA USE
7.1 Use of images
Fotoboothevent may use photographs or video taken at the event for advertising and promotional purposes including website galleries, social media, printed materials and online promotion.
By attending the event, guests grant permission for this use.
7.2 Agreement to terms
By hiring a photo booth from Fotoboothevent you agree to all of these Terms & Conditions.
- DAMAGE TO EQUIPMENT
The client is responsible for any loss or damage caused to Fotoboothevent equipment during the hire period by guests or venue staff.
If equipment is damaged due to misuse, negligence, or inappropriate behaviour by guests, the client may be charged for the cost of repair or replacement.
Fotoboothevent staff reserve the right to immediately cease operation of equipment if continued use may result in damage or safety risk.
- ELECTRICAL POWER REQUIREMENTS
The client or venue must provide a safe and suitable electrical power supply within reasonable distance of the setup location.
If suitable power is not available or fails during the event, Fotoboothevent cannot be held responsible for any interruption to service.
Where possible we will make reasonable efforts to restore operation, but no refunds will be provided for interruptions caused by venue power failure.
